Find Documents Fast with Advanced Search in DMS+

Overview

Having trouble locating the right document when you need it? With Advanced Search in DMS+, you can refine your search using file names, metadata, or content, ensuring precise and efficient retrieval.

Narrow results with advanced conditions, or searching within document text, this feature helps you find what you need in seconds—boosting productivity and eliminating frustration.

To access Advanced Search, log in to DMS+ and navigate to Advanced Search from the left sidebar. This tool provides multiple filtering options, making searches more efficient and organized.

At the top, the Search Bar allows you to search the file names. Simply enter a keyword, such as "Pancard", and click Search to retrieve matching results.

For more targeted results, apply Filters and Conditions:

  • DocType, Master, Folder, Uploaded By, and File Type – Use dropdowns to narrow down search results.
  • Property-Based Search – Specify a field like "Invoice Date" and use the calendar picker for date-based searches, such as "25/01/25" or “25/01/25 - 30/01/25.”
  • Number Filters – Apply numerical conditions like "Greater Than" or "Between" to refine results based on numerical values.
  • Content Search – Locate documents by searching within their content, making it easy to find relevant files even if you don’t remember the exact title.
  • Document Upload Date – Filter documents based on when they were uploaded, selecting a specific date or a date range.
  • File Name Search – Quickly find documents by entering their exact name or keywords related to the file name.

Using Segments for Advanced Queries

For more complex searches, Segments help group search conditions. You can create up to three segments to structure your query efficiently.

Example:

  • Segment 1 – Set the Folder to "Sales" and File Type to "PDF".
  • Segment 2 – Filter by Uploaded By: Prakash Joshi. & File Type to “PNG”

Once all filters are applied, click Apply to execute the search.

Combining Multiple Filters

To further refine results, use AND/OR logic:

  • AND Condition – Displays only results matching all selected filters.
  • OR Condition – Retrieves files that meet at least one of the applied filters.

Additionally, Cascading Logic ensures that filters adjust dynamically based on previous selections. For example, choosing "Sales" as a folder will display only relevant DocTypes under that category.

Saving and Managing Searches

If you frequently perform the same search, save it for future use:

  • Click on the three-dot menu.
  • Select Save Search and assign it a name like "January Sales PDFs".
  • Access saved searches later to run, modify, or delete them as needed.

After results are displayed, tailor their appearance by selecting Configure Columns.

Best Practices for Efficient Searching

  • Start simple and add filters gradually for refined results.
  • Use Segments for structuring complex searches.
  • Save frequent searches to reduce repetitive work.
  • Check permissions if any dropdown options are missing.
